Hello,

I am a volunteer for an association that helps students with their homework from kindergarten to middle school in my town.

The students come from 4 different schools.

I would like to create a daily tracking file for the students (present/absent: justified or not) where I could record the children welcomed with their name, surname, date of birth (with a reminder on the day of the birthday); Presence: present or absent and if absent: justified or not), school name, parents' mailing address, parents' phone number, parents' email for each student, as well as the years of attendance at the homework help association for all.

So perhaps Excel doesn't do that and I should use something else, I don't know, but I find it impractical to have printed lists every day: Monday, Tuesday, Thursday, and Friday with several constraints (for example, when we want to make the end-of-year report to know the attendance, the %, and even to answer a simple question like whether a student was present or absent on a certain day?

I would like something practical and accessible from a computer or phone without needing to go to the association's premises to pull out sheets from binders to find simple information.

In any case, I would need a file with the student data, another by years, and another by class. One person may have multiple years of attendance and multiple classes.

And for the search, I would like to be able to search by name, by class, and by year.

My question is whether this is already possible via Excel?

Hello.

Yes, it should be possible with Excel.

It remains to be seen how well you know the software :

  • Filter, sort, search
  • PivotTables, custom display, outline mode
  • VBA
  • ...

You could start by creating your starting file, with all the students from all the schools. That would be your database from which you could then conduct your searches and displays.


Retirement is nice! Especially in the Caribbean...

Hello everyone,

A solution attempt with Excel 2024 or Excel 365.

The "Names" tab contains information related to the student, where the "group" field indicates the student's attendance day (a modification is possible if the student can be present on multiple days).

The tab contains holidays and vacation days (the dates in yellow are variable dates. They are calculated automatically).

The "Schedule" tab contains two lines per working day:

On the first line, the names of students who are normally present that day appear.

The second line is intended for free entry to mention absences, etc.

We have a list but not yet an Excel database for more clarity and ease regarding tracking.
