Hello,
During the holidays, I would like people to be informed that I will not be reading emails and that they should call someone else by phone. I plan to leave the PC on with Outlook configured to check for emails every half hour.
Can anyone tell me if I can simply set up Outlook (2000) to automatically send a generic message back to the sender of each incoming email with my explanations? Thank you in advance..

Do you want to automatically send your correspondents a message confirming that you have received their email or that you are on vacation? Create a template response - an acknowledgment for example - and configure Outlook Express to use it automatically.

First, you need to create the template response. Edit a new message, type your text, then save it in the required format by pulling down the File menu and selecting Save as.... This can be in Mail format (*.eml), text, news, or HTML. Prefer the text format.

Next, you need to define a "rule" for mail to specify to the software the criteria for sending the automatic response. Pull down the Tools menu and select Message Rules then Mail...

If this is the first mail rule you create, Outlook Express will directly offer to define it. Otherwise, create a rule by clicking on New.

• Frame 1 allows you to specify the selection criteria for the message. These can include words found in the subject of the message or email addresses present in the headers of the mail. If you want the action to apply to all messages you receive, check the last option For all messages.
• In Frame 2, check the action Reply using template message.
• In Frame 3, select your response by clicking on the message link. The software will then allow you to browse your hard drive to indicate the location of the template response you prepared.
• Finally, give a clear name to the rule created in Frame 4 and confirm.

The software will then display the list of defined rules, including the one you just created. The rules that are checked are active. To deactivate them, simply uncheck them. You can also modify a rule by selecting it from the list and clicking on edit. Click OK to exit the window.

NB: The automatic reply option can have unfortunate consequences for discussion lists. Think about all those who post in a list and receive 30 emails in return like "I have received your message" or "I am on vacation, I will read your message upon my return"!
