Outlook: Manage Multiple Accounts

Question

Good evening everyone,

Here is my problem:
I have several email addresses that I would like to manage through Outlook. I would like to receive emails for each of my addresses in separate data files.
So far, I have created my email accounts (Pop, SMTP): it's working!
I have created data files and that's not working :-( that is, I receive emails from my different addresses in the same data file. Moreover, only the first data file contains the usual structure (Inbox, Sent Items, Drafts,…). The other data files only contain: "Deleted Items and Search Folder".
I hope that's clear enough; if anyone has the solution, thank you in advance for your help.

Hi, a very late post for anyone looking for the same information.
Of course, identities exist in Outlook (you must not have searched much on Google :)
Just don't launch Outlook, go to the control panel, mail tab, show profiles (equivalent to identity) and create a new profile; (If you check at the bottom "prompt for a profile to be used" every time you start Outlook, you'll have a choice of profiles (identities).

I have this ... you might find what you’re looking for...

The advantage of using Identities is that it's like each person has their own Outlook Express. No more need to set up filters to separate messages for each user.
With Identities, everyone sees their own messages and does not have access to those of others (you can indeed set a password), which ensures message confidentiality.

Outlook Express Configuration:

Run Outlook Express, then click on the File menu, on Identities, and then on the Manage Identities command.
The main Identity represents the current state of Outlook Express, meaning for normal single-user use (without identities). We will assign this identity to the first user. To do this, select this main Identity and then click the Properties button.

Then enter the name of the first user in the Enter your name instead of Main Identity field.

To set a password for this user, check the Require a password box. A window will open where you must enter the password and then confirm it. Click OK to validate the password.

Click OK to update the identity.

You can then add the other users. For each of them, click the New button, then enter the identity name and indicate the password as for the first user.
Once all users are added, click the Close button to return to Outlook Express.

You are now in the identity of the first user. Remove the email accounts of the other users that may remain. To do this, click on the Tools menu and then on Accounts. In the Mail tab is the list of email accounts used by the user. To delete an account, click on it, then click the Delete button.

Then configure the email accounts for each user. To do this, expand the File menu and then click the Change Identity command.

Select the name of the new user and click the OK button. The wizard will then open allowing you to configure the user's email account (use the information provided by your Internet service provider or the email service you are using). Each user will thus receive their own mail in their identity. Repeat the process for each user.

Using Identities:

From now on, when you start Outlook Express, the user selection menu appears. Select your identity name from the list, enter your password, and click the OK button.

You are now in your Outlook Express. You can use your own contacts and manage your messages as you wish.

While using it, if you want to switch users in Outlook Express without quitting the program, click on the File menu and then on Change Identity. The user selection window will then appear. Choose the identity to open and click the OK button.

Outlook also allows for this, but it also manages identities.

Those who use Thunderbird often tend to believe that it is the only acceptable email client out of pure hatred for Microsoft, while Outlook is just as comprehensive and additionally includes essential business functions for collaborative work.

Good evening,I think that Outlook falls into the pro/semi-pro category for users. If you don't need that many options, download an email client like IncrediMail "Free," which is fun and easy to use, especially for configuring different Imail accounts.Sincerely,Migou

I have exactly the same problem as bambobee and I don't seem to find a solution in the answers above...

Let me rephrase the predefined constraints so we're on the same page:
1- Use Outlook 2003 with a single profile (to have only 1 calendar, 1 contact list...)
2- Have multiple email accounts on this profile (e.g., 1 Orange account and 1 Free account); personally, I plan to group them in "All Accounts".
3- Have a folder where messages from account 1 arrive and another folder for messages from account 2.

As far as I am concerned, under Outlook 2003, the accounts are created, messages are coming in fine from both servers, but...
My problem, which seems to be the same as Bambobee's, is that the messages are grouped in a single folder: "Inbox" under "Personal Folders".

When I try to attach another folder to account 2 to separate the messages, I go to:
Tools/ Send/Receive/ Send/Receive Settings/ Define Send/Receive Groups/ all groups/ modify.
There, I can select the created accounts and, theoretically, assign a different folder to each account but I only have one choice: "Inbox" under "Personal Folders".

How can I create a new folder that can then be selected in "Define Send/Receive Groups"?
I want to point out that I have tried a bunch of different manipulations (creating a new send/receive group, copying the "Inbox" folder under "Personal Folders",...): nothing works!

Help please!!

Hello,

To address your concerns, everything is doable in Outlook.

One solution is to have both accounts come into one folder and create a rule stating that messages coming from Account 1 should be moved to folder X and messages coming from Account 2 should be moved to folder Y.

Once the rule is set up, everything is automatic.

It seems to me that it answers Bambobee's question and mine.

Personally, I was focused on the possibility of assigning a folder to each account upon creation.

In the end, I followed Nicolas0057's advice:
- created 2 email accounts that go to the same Outlook session in the "Inbox" folder.
- the main account is left in the general inbox.
- the secondary account is managed by a rule and sent to a separate folder.

It works perfectly.
Logical!! but I hadn’t thought of it!

Hello,  I have the same problem, but I don't see which rule to use to say that messages from the secondary email account go into the "inbox 2" folder that I previously created.  Can you help me?

Outlook 2010:
Set up the account and then create a message rule for all accounts to receive everything in the same inbox
First, create the accounts and the contact with the same email address
Then file, create a rule, apply the changes to this folder, choose the correct account in the dropdown, new rule, check:
- In specified account, choose, next,
- Move it to specified folder, choose, next...run the rule, finish.

Hello everyone,

I was looking for a solution to the same problem. I had been using rules for a long time to do it, but I wanted to find a better way. Mainly for the "sent items" part.
So I proceeded as follows:
In the messaging tab, I created my two accounts "Wanadoo Account" and "GMail Account"
In the $Data File$ tab, I created the two files "Wanadoo Mail" and "GMail Mail"
In the $Messaging$ tab, I selected the first account and clicked on the "Change Folder" button at the bottom left. In the window that appears, I selected the folder "Wanadoo Mail/Inbox" and then OK.
The same for the second account by selecting the correct folder.
Don't worry about the sent items; it manages itself afterwards, and each one is in its place.

Hello,very late response.If I understand correctly, the goal is to have an independent folder for each account (inbox, sent, etc.).To do this:* you create your accounts with POP3/IMAP and SMTP to retrieve your emails. e.g.: personal (default) and work* when you create your work account, you click at the bottom on change folder* in the new window, you create a new work folder to which you assign your account.In the mail window, you see your different folders and the emails from each account arrive in separate folders.

You want to completely separate the accounts and have the option to choose the identity when starting Outlook. First, completely close Outlook. Then go to Control Panel -> Classic View -> Mail -> Show Profiles -> there you should see an "Outlook" -> Change the checkbox at the bottom to "Prompt for a profile to be used" -> Click the Add button -> Add a profile for (your second account) and configure its account. Do the same for the other accounts.

After reading your advice, I can't find a solution to my problem. I have Outlook on my Mac, I have set up three email accounts: one Exchange account and two POP accounts. The two POP accounts are grouped in a single folder called "on my computer." How can I separate them?
