Compress a PowerPoint Solved

Hello,

Tip for compressing a PowerPoint that's too large for a corporate email server:

*********** you need to reduce the size of the images; zipping is ineffective ********************

This action can reduce the size of a PowerPoint by 30 to 40%
- right-click on any image in the PowerPoint
- select the "format picture" tab and then the "compress" button
- then select the following options "All pictures in document" + web/screen and OK
- finally, converting to PDF format (using the virtual printer "5D PDF creator" or "PDF creator") will further reduce the size of the PowerPoint.

Hello, my problem is that when I save a pps file on a CD, the sound completely disappears. It's only on my machine that I am able to play it aside from that, please.

Hello,Yes, indeed we need to compress the images... It's actually even better if we can reduce their size beforehand.As for converting to PDF, we lose all the animations... which can diminish its interest. Furthermore, we sometimes have surprises when converting to PDF... Not only does it not always reduce the size, but it can actually increase it!m@ria

Generally, I use Acrobat, but many people in my company use PDFCreator... I can't generalize, but it's something I notice from time to time. In fact, I'm going to convert a pdf to ppt specifically because of this issue...
And even in a corporate setting, we can use animations, especially to display paragraphs by levels or to animate graphs... it adds a bit of flair to the presentation!!! ;) We need to avoid letting the audience fall asleep!!! ;)))

I tried two methods with PowerPoint 2007.

1st method:
Original file 23MB
- open this file
- save as, file type "PowerPoint Presentation (pptx)"
- from 23MB the file size changed to 2.82MB
To view it with PowerPoint 97/2003, delete the X from the extension
- right-click on the file
- rename, remove only the X from the pptx extension
- window "do you really want to change the extension" click yes
With this method, we are in presentation mode, but it is easy when received to switch to slideshow mode.

2nd method:
Open the file
- save as choose file type "slideshow that supports macros (ppsm)"
For the file size, we get the same result as above. 23MB to 2.82MB.
We are directly in slideshow mode. But I don't know if it can be viewed with an earlier version of PowerPoint.

I had the same problem. My solution: use OpenOffice.
OpenOffice opens .ppt files very well (as well as .doc and Office spreadsheets), and it can handle all these documents without changing the format. There are thousands of tools available to do this or that. Among them is Sun Presentation Minimizer, which is specifically designed to reduce the size of presentation documents. It’s very easy to use; you just specify the resolution you want for your images. It also removes (if you wish) unnecessary images and empty slides. Once the lightweight document is created, you can save it in .ppt format or as a PDF.
OpenOffice and its accessories work (well!) on Mac, PC, and Unix environments. They are regularly updated. They have a longevity guarantee superior to MS products. And they are free! Using MS Office is for masochists...

Maybe a little late: you need to take a .wav music file, convert it to mp3 using Cdex, then reconvert the obtained file back to mpeg ---> Riff-Wav The .wav file keeps the size of the mp3

Compress in PowerPoint:
Click on one of the photos in your PowerPoint
In Picture Tools, Format, Compress Pictures
Click on Options, click on Email (96 ppi), click OK, then OK
Save as: PowerPoint Presentation.
There you go...

Thank you Ocelot for the Riff-Wav tip: it works perfectly.

Also remember to cut the Wav to the strictly necessary duration.

For those who don't know how to do it:
Step 1:
- Download Audacity: https://sourceforge.net/projects/audacity/
- Open the Wav of the presentation with Audacity and delete the unnecessary part of the Wav (e.g. keep only the first minute of the track)
- Export as mp3 or if lame.dll is not available, export as Wav
- Open Cdex

Step 2: (for those who saved as .wav; otherwise go directly to step 3)
- Drag the .Wav created in Audacity into the Cdex window
- Uncheck all options and choose "Encode" = converts the .Wav to .mp3 in the chosen destination folder (see options).

Step 3:
- Go find the .mp3 you just created and repeat the process with this file in Cdex by checking the option "Output Riff-Wav file" this time and choosing "Encode"

The created file indeed has the size of an mp3 but is recognized by PPT.

It is very important to reduce the size of images from the start: from a file of over 40 MB, I went down to a file of less than 2 MB, using Photoshop to significantly reduce the size and resolution of each inserted image (a few cm and 150 dpi or even lower is sufficient for a presentation).
