I’m looking for a simple and effective method to organize this type of documents remotely.
Here are some ideas:
1. Create a folder per unit with the model, serial number and inspection date.
2. Use consistent file names, for example: series_dashboard.jpg or series_startup_cold.mp4.
3. Separate original files from annotated or compressed versions.
4. Keep a summary table with the file name, date, content and points to confirm.
5. Avoid scattering files across multiple messaging apps.
6. Archive validated documents before any decision.
For important files, a digital fingerprint can also be used to verify that they have not been altered.
