Here is a clever and quite amusing solution that seems to meet your needs.
It’s not very new (2012), but there’s no reason it shouldn’t work.

Advantages: The forwarding will be done automatically without your intervention, and the members of the office will not have full access to the association's inbox.

Disadvantages: None reported. (I haven't tested it)

An email account with any internet service provider is accessible to anyone who has its password, meaning all members of the association. However, they still need to voluntarily log in to check for new messages.

If you want them to be notified of the arrival of a new email, they all need to use an email client on their computer or phone. They will then receive an alert message prompting them to check the new message.

Mail on iPhone, iPad, or Mac
Thunderbird or Mail on PC

The account should be configured as POP without deleting messages on the server. A responsible person (secretary) will be in charge of deleting old messages and tidying up the account from time to time.

As for Whatsapp, not all board members are that connected.. (there aren't just young folks.. already me...).. and my iPhone 4 couldn't handle an involuntary update... I can't find an old version of Whatsapp on the net..
So I'm jumping to this question: How to recover a Whatsapp version for iOS 9.3.5?

In fact, I only used Whatsapp on my phone… and given your ???, there's one thing I didn't understand…

And I also just realized that I wasn't clear in defining the initial problem… The goal is not to communicate between us, but for the office to receive external emails (to avoid having to forward those emails… I'm getting lazy..)

So I'm going back to my first proposal: to use a messaging software (this should be the norm since they do not leave emails and contacts on the web, which can be hacked at will).

We just need to publish the account settings of the association once and for all to all the board members (POP without deleting messages from the server) and get them to adopt this solution to manage not only the association's emails, but also their personal emails (multiple accounts can be defined).
There's nothing complicated about that, and it should not be made into a big deal!

Personally, I have 5 accounts in Thunderbird, and I get notified by a pop-up and a small sound each time an email arrives in any of these accounts.

Sorry for the delay, but getting 8 people moving during the holidays isn't easy.
Anyway, I followed Pierr10's solution (automatic transfer for multiple people using filters in GMail settings), and it works well.
