Export SAP data to EXCEL

Question

Hello,
I use SAP, and I would like to export a very large amount of data to Excel. To date, I only see the screenshot as a solution. While sometimes, depending on the query requested, SAP allows exporting to an EXCEL file, it often seems to me that this remains impossible... and frankly, it is a nightmare to paste 20 rows at a time when there are more than 4000...

If you have any ideas, believe me, they will be more than welcome... because right now, it’s a total mess.

Good evening everyone
First question: is it indeed SAP/R3 that we are talking about
When you have made a request on one of the transactions, you get SAP data
You select them by clicking in the corner, then click on the right and select export to mhtml
They are viewable in Excel if you edit them and not when you open them!

To export data from SAP to Excel, you can also press Ctrl+Y, select the data you want to export, open an Excel sheet, and press Ctrl+V in Excel.  I hope this helps you.

I'm in the same situation.
So:
@poopy: your solution is a copy-paste, it’s exactly what Linchpin does and so do I, it’s not what we want. We want to export everything at the same time and the copy-paste on SAP doesn’t allow for vertical scrolling...
@papatofmouth: I'm on SAP/R3 but the list I want to export (the lists actually) don’t have the option to export in mhtml (or in any other format for that matter) when you right-click...

Importing a Microsoft Excel file

Usage

You can import data on partners and items from a Microsoft Excel file to an S/L company in SAP Business One. Accounts cannot be imported using this method. The data is copied from the cells of the Microsoft Excel table and transferred to the corresponding fields in SAP Business One.

This method allows you to create new records for partners or items or to update existing records. First, set up the definitions for the import. The following rules apply to the import of Microsoft Excel files:

· Files must not contain a header row or blank rows.

· Partner or item numbers must not contain the following characters: ! < > * ? % { } =

· Close the Microsoft Excel file before importing.

· Save the Microsoft Excel file as a .txt file (text file with "Text only").

· The data to be imported must be saved in columns A to BT of the Microsoft Excel table. The number of characters in the cells of the Microsoft Excel table must not exceed the length of the corresponding field in SAP Business One. Some columns may have empty fields.

Prerequisites

· Make a backup copy of the database before starting the import.

· If SAP Business One is running over a network, ensure that no other user connects to the system during the import.

Procedure

1. Log in to the S/L company where the data needs to be imported.

2. Select Administration ® Data Import/Export ® Import Data ® Import from Excel.

3. Select the desired entry in Data Type for import: Partners or Items. To import a price list, select the Items entry.

4. Each row in the list represents a column in the Microsoft Excel spreadsheet to import. Select the corresponding field for each row in the list according to the column definitions of the Microsoft Excel spreadsheet.

5. To update existing data records in the system during the import procedure, check the Update Records box. In this case, the system overwrites the data in the corresponding fields for existing partner or item records. The partner or item record numbers cannot be overwritten. The type of a partner cannot be changed when business transactions have been recorded for that partner.

6. When importing item data, information regarding charge and revenue accounts can also be updated. Check the Update Accounts for Existing Items box at the bottom of the window to overwrite the base data record of the corresponding item.

7. Select OK.

8. The system opens the file manager. Select the file to import and then select Open.

9. The progress of the import process appears in the status bar. If necessary, you can interrupt the import process at this point by selecting the Stop button in the status bar.

Result

When the import process is complete, the system opens the Messages window which contains messages generated during the process. The number of partner/item records imported is displayed. To ensure that all rows have been imported from the Microsoft Excel table, compare the number of records shown in the message with the number of rows in the Excel table.

It is recommended to save this import analysis so that you can track any errors that may have occurred. Select Save in the Messages window and then enter a sufficiently descriptive name for easy reference if needed.

The next time you import data in this window, the fields selected during the last run will be displayed by default. Select Delete to remove this information. All entries in the list will be deleted and you can redefine the sequence of the fields.

The following error messages may appear after an import:

· Error 47

This message means that the Microsoft Excel file was open when you attempted the import. Close the Excel file and restart the import. Always ensure that the Excel file is closed before starting an import procedure.

· Incorrect Entry

The entry in the Microsoft Excel table cell is longer than the corresponding field in SAP Business One.

· Invalid Code

The partner or item number contains an invalid character. The following characters are invalid: ! < > * ? % { } =
